Choosing a solution
Workflow Integration or Internal Portal?
Start with the work, not the software. One repeated handoff may need an integration. A process shared by several roles may need a portal.
Use an integration for one clear handoff
An integration moves information or triggers an action between tools your team already uses. Think of a completed form creating a CRM record and a follow-up task. Staff keep working in their current systems.
- The task has a clear start and finish.
- One team owns the result.
- Your existing tools show what happens next.
Use a portal when coordination is the problem
A portal helps when staff, managers, and clients need different views of the same request. It shows status, ownership, approvals, and exceptions in one place. Your CRM or accounting software can remain the system of record.
- Several roles make decisions on the same item.
- People rebuild status from inboxes and spreadsheets.
- An overdue request needs a visible owner.
Test the smallest answer
Trace five recent requests. If the fix is a trigger and a handoff, build an integration. If the fix is a shared queue with roles and statuses, prototype a portal. Keep human review where an error would affect a customer, payment, or sensitive record.
