A Checklist for Your First Workflow Audit

Bring one recurring problem and a few real examples. You do not need a full technology roadmap to find a useful first step.

Map one request from start to finish

Choose intake, follow-up, document review, or another task that regularly stalls. Bring a normal example and one awkward exception. Show the workarounds staff use when the current process fails.

  • Where does work arrive?
  • Who owns the next action?
  • What is missing or entered twice?
  • How does anyone notice a delay?

Mark the decisions people must keep

Routing and reminders may be automated. Approvals, sensitive records, and customer decisions often need a person. Mark those points before adding AI so the system has review and correction paths.

Choose one measure

Record a baseline such as time to first response or incomplete packets awaiting review. Scope the first release around improving that measure. If a checklist or ownership rule solves the problem, make that change before buying software.
